What is a payment reminder?
Published
A payment reminder is a structured message informing the customer of an upcoming or outstanding amount. It is the collection ladder's first and cheapest rung - and run automatically on schedule, it collects more than late angry phone calls.
The five components
- The amount due, plainly (and the remainder, if partially paid).
- The invoice reference with a copy attached - don't make the customer search.
- The due date (or days overdue).
- How to pay: IBAN, a payment link - shorten the distance between intention and transfer.
- A polite exit: "if payment has been made, please disregard" - saves face and prevents compounding awkwardness.
The tone ladder
Before due: friendly service - "a reminder of an invoice due Thursday"Days after: neutral, confident - "we haven't received payment of the invoice due on…"Two weeks+: formal, specific - a statement plus a request for a specific payment date
Why pre-due reminders win: most lateness is forgetting and prioritising, not refusal - the early message puts your invoice in this week's payment run instead of the rollover.
Frequently asked questions
How many reminders before it becomes annoying?
On a declared rhythm (the collections page) it isn't annoyance but system - what annoys is randomness: two months of silence, then three messages in a day.
WhatsApp or email?
