Record keeping is the organised retention of books, invoices, and supporting documents so they remain complete, intact, and retrievable throughout the statutory periods. It is not paper archiving - it is the standing ability to prove every figure you have declared.

Period and principle
Saudi rules impose defined retention periods for records and tax invoices, and detail electronic-storage requirements (including conditions on where data is kept and served). The exact period and the detailed conditions are taken from the regulations and ZATCA's guides directly before adopting an internal policy - and the safe practice: delete nothing with tax effect without confirming its period has lapsed.
Inside a compliant cloud accounting system, retention happens structurally - invoice, attachment, and entry are linked and archived automatically - leaving you responsible for what lives outside the system: contracts, correspondence, incorporation documents.
The quality test
Archive quality is not measured by size but by one question: a specific invoice from eighteen months ago - how long until it is in front of you with its attachments? Minutes = sound keeping. "We'll look and get back to you" = ceremonial keeping that the first audit will expose.

No - it runs for its statutory periods even after activity stops. Settle the records' fate within the wind-down procedures.
Original paper or electronic copy?
E-invoicing made the original electronic to begin with. For the rest, organised electronic retention is generally acceptable within the conditions - whose details come from the source.
My cloud system keeps everything - do I need extra copies?
Know your provider's backup and restore policy, and keep a periodic export of what is critical. Trust doesn't cancel verification.
